Motorhome Rental Terms and Conditions
These terms and conditions ("Agreement") govern the rental of motorhomes ("Vehicle") from A Holiday on Wheels ("Owner," "we," "us," or "our") to the renter ("Renter," "you," or "your"). By renting a motorhome from us, you agree to the following terms and conditions:
1. Booking and Payment
1.1 Booking Deposit: A non-refundable deposit of 10% of the total rental cost is required to confirm your booking. The remaining balance is due 30 days before the start of your rental period.
1.2 Payment Methods: We accept payments via [e.g., credit card, bank transfer, etc.].
1.3 Late Payments: Failure to pay the balance in full by the due date may result in cancellation of your booking without refund of the deposit.
2. Rental Period
2.1 Pick-up and Return: The Vehicle must be picked up and returned at the times and dates specified in your rental agreement. Late returns may incur additional charges.
2.2 Early Return: No refunds will be given for early return of the Vehicle.
2.3 Rental Extensions: Any extension to the rental period must be agreed upon in writing before the return date. Additional charges will apply.
3. Driver Eligibility
3.1 Age Requirement: All drivers must be at least 25 years old.
3.2 License: Drivers must hold a valid driver’s license for a minimum of 3 years. An international driver’s license may be required for foreign renters.
3.3 Insurance Approval: All drivers must be approved by our insurance policy. Drivers with endorsements or restrictions on their license may be denied rental.
4. Vehicle Use
4.1 Permitted Use: The Vehicle must be used for recreational purposes only and driven on paved public roads.
4.2 Prohibited Use: The Vehicle is not permitted for:
Extreme Off-road driving
Transportation of goods for hire or reward
Participation in illegal activities
Towing without prior written consent
5. Vehicle Condition and Maintenance
5.1 Inspection: You must inspect the Vehicle before departure and report any existing damage.
5.2 Cleanliness: The Vehicle must be returned in a clean condition. If the Vehicle is returned excessively dirty, cleaning fees may apply.
5.3 Mechanical Issues: You are responsible for checking oil, water, and tire pressures during the rental period. Any mechanical issues should be reported to us immediately.
5.4 Breakdown: We provide 24/7 roadside assistance. However, you are responsible for the cost of repairs due to misuse, negligence, or accidents caused by you.
6. Insurance and Liability
6.1 Standard Insurance: Your rental includes basic insurance coverage, which includes third-party liability and limited damage cover, subject to an excess of your choice of policy.
6.2 Excess/Deductible: In the event of an accident or damage, you will be liable for an excess amount of your insurance package.
6.3 Security Deposit: A refundable security deposit of $150 will be held for the duration of the rental and returned after inspection of the Vehicle. Deductions may be made for damage or excessive wear.
6.4 Additional Insurance: Optional insurance packages are available to reduce your liability (e.g., excess reduction or full coverage).
6.5 Accidents: In the event of an accident, you must notify us immediately, complete an accident report, and follow our instructions regarding insurance claims and repairs.
7. Fuel Policy
7.1 Fuel: The Vehicle will be provided with a full tank of fuel and must be returned with a full tank. A refueling fee will apply if the tank is not full upon return.
7.2 Fuel Type: The Vehicle must be refueled with [fuel type, e.g., diesel, unleaded petrol]. Any damage caused by using the wrong fuel will be your responsibility.
8. Cancellation and Refunds
8.1 Cancellation by Renter: Cancellations must be made in writing. The following cancellation fees apply:
More than 30 days before the rental period: 50% of the total rental amount
Less than 29 days before the rental period: 25% of the total rental amount
8.2 Cancellation by Owner: We reserve the right to cancel your booking in case of unforeseen circumstances (e.g., Vehicle breakdown, extreme weather conditions). In such cases, a full refund will be provided.
8.3 No Show: If you fail to collect the Vehicle on the agreed pick-up date, no refund will be issued.
9. Fines and Penalties
9.1 Traffic Violations: You are responsible for any traffic violations or parking tickets incurred during the rental period.
9.2 Toll Roads: Any toll fees incurred during the rental period are the responsibility of the Renter. If unpaid toll fees are forwarded to us, an additional handling fee may apply.
10. Pets and Smoking
10.1 Pets: Pets are [permitted/not permitted] in the Vehicle. If allowed, an additional cleaning fee of $250 may apply.
10.2 Smoking: Smoking is strictly prohibited in the Vehicle. A cleaning fee will be charged if the Vehicle is returned with signs of smoking.
11. Breakdown and Emergency Assistance
11.1 Roadside Assistance: We provide 24/7 roadside assistance. You must contact us immediately in case of breakdowns or mechanical issues.
11.2 Emergency Repairs: You may authorize emergency repairs up to the value of $100 without prior approval. Receipts must be provided for reimbursement. Repairs exceeding this value must be approved by us.
12. Personal Belongings
12.1 Loss or Damage: We are not responsible for any loss or damage to your personal belongings left in the Vehicle during the rental period.
13. Governing Law
This Agreement shall be governed by and construed in accordance with the laws of Australia. Any disputes arising from this Agreement will be resolved in the courts of Australia.
SUBJECT TO TERMS AND CONDITIONS ABOVE
Any accident must be reported within twenty four(24)hours and must be accompanied by a police report.
Should the hirer(s)fail to comply with any conditions of this contract, all losses and damages suffered by the owner arising out of such failure shall be bourne by and paid for by the hirer(s). Subject to the terms & conditions contained on the front and reverse hereof of which the hirer(s) acknowledges that they are aware, the hirer agrees to rent the above vehicle and elects to pay all amounts payable under this agreement by the method of payment of which details are given on this document.
The Hirer(s) accept responsibility for all traffic violations. A $50 administration fee will apply for any unpaid fines or to delayed process of infringement
HIRER(S) RESPONSIBILITY
Maintaining water and oil levels is the hirer(s) responsibility. Any cost incurred will be reimbursed upon production of a receipt. Should any malfunction of the vehicle occur, any sign of overheating, you must stop the vehicle immediately or you will be held liable and loss of bond may occur
Vehicles are provided in a clean and tidy manner and should be returned in a similar state otherwise a cleaning fee will apply
LATE RETURNS
Late returns will be charged for at the rate of $10 per hour

By renting a motorhome from A Holiday on Wheels, you acknowledge that you have read, understood, and agreed to these terms and conditions.
